How Squarespace Scaled and Delivered White Glove Candidate Experience with Embedded Recruiting Coordination as a Service (RCaaS) 

The Challenge

Squarespace is globally renowned for world-class design and exceptional user experience. 

As the business ramped up a significant volume of hiring across EMEA, their Talent Acquisition (TA) team faced a critical imperative: their recruitment process needed to reflect that exact same high-design, high-empathy standard.

With interview volumes surging, Squarespace’s in-house team needed immediate coordination support. They couldn’t afford a lengthy ramp-up period without impacting hiring continuity and were looking for a solution that would step in seamlessly and add value to the team. 

They needed an embedded resource who was deeply versed in their existing TA tech stack, understood the nuances of the Dublin and EMEA hiring markets, and could hit the ground running on day one without compromising candidate experience.

Once engaged,  we entered a Discovery Phase to ensure seamless integration:

  • Understanding the model: The co-ordinator brought their experience to bear in ramping quickly to understand Squarespace processes and ways of working and sought to capture this for future reference. 
  • Tone Check: Leveraging core company assets and in collaboration with the RecOps team the coordinator built additional key templates and resources that would expedite her work and aligned with the company brand. 
  • Workflow Mapping: While working the coordinator consistently tracked processes and collaborated with the broader team in actioning bottlenecks, suggesting improvements and tracking key metrics to ensure a quality of service was being delivered. 

Go-Live: We deployed an experienced coordinator who integrated into the existing team immediately, looking, acting, and feeling exactly like an internal Squarespace employee.

TA.guru embedded an expert coordinator who already had deep experience with Squarespace’s specific TA tools and the volume and nature of their high-bar technical roles.

Because of the pre-onboarding work, the coordinator ramped up to full productivity in less than a week. Acting as the sole local resource for the EMEA  region, she (they?) began delivering immediate value, managing an intense and complex workload.

Beyond simply scheduling, the RCaaS model placed a critical “human in the loop.” to act on any errors or escalations and contribute strategically to consistently iterate on the process. The coordinator hit ambitious targets for efficiency while delivering a white-glove experience for both candidates and internal interviewers. 

Alongside core scheduling tasks, the coordinator was heavily involved in strategic projects—specifically optimizing interview setups, streamlining timings, and driving local interviewer calibration to address a critical gap needed to support the company’s broader hiring goals.
